1. Information We Collect

When you register for QuoteShield, we collect your business name, contact name, email address, phone number, trade categories, and business location. When customers submit job requests through your widget, we collect their name, contact details, job description, photos, and property information.

We do not accept registrations from disposable or temporary email addresses. This helps us maintain the quality and security of our platform.

2. How We Use Your Information

We use collected information to provide our lead qualification service, including AI analysis of job requests, lead scoring, price estimation, and notification delivery. We do not sell your personal information to third parties.

3. Data Storage

Your data is stored securely on servers located in the Asia-Pacific region via our infrastructure provider, Supabase. All data is encrypted in transit and at rest. Uploaded photos are stored in secure cloud storage with access controls.

4. Data Retention

We retain your personal data for as long as your account remains active. Lead data associated with your account is retained for the duration of your subscription. Usage and analytics data is retained on a rolling monthly basis.

When you request account deletion, your data enters a 30-day grace period during which it is soft-deleted (hidden from active use but recoverable). After 30 days, your data is permanently and irreversibly removed from our systems, including your profile, leads, rate cards, notifications, and usage records.

5. AI Processing

Job requests are processed by AI models to generate analysis summaries, lead scores, and price estimates. This processing is done in real time and the results are stored alongside the lead record. AI outputs are indicative only and do not constitute formal quotes.

6. Your Rights

Under the Australian Privacy Act 1988 (including the Australian Privacy Principles) and the EU General Data Protection Regulation (GDPR), you have the following rights:

• Right of access — You can request a copy of all personal data we hold about you. Use the Download my data button in your account settings to export your data as a machine-readable JSON file at any time.
• Right to rectification — You can update or correct your personal information at any time through your account settings.
• Right to erasure — You can request deletion of your account and all associated data. Use the Delete my account option in your account settings. Deletion includes a 30-day grace period during which you can cancel the request by logging back in. After 30 days, data is permanently removed.
• Right to data portability — You can export your data in a structured, commonly used, machine-readable format (JSON) via the data export feature in your account settings.
• Right to object — You can opt out of non-essential communications (e.g. digest emails) through your notification settings.

7. Data Security

We implement appropriate technical and organisational measures to protect your personal data, including encryption at rest and in transit, row-level security policies, rate limiting, CAPTCHA protection, and input sanitisation.
